ColibriOS

Workshop software for people who teach, not garages that fix cars.

Search this phrase and half the results are for auto shops. This is the other half: booking for the workshops, trainings and circles you host, with capacity, waitlists, materials, add-ons and follow-up, in the system that also runs your sessions and keeps your books.

If any of this sounds familiar

  • A generic booking tool treats a two-hour workshop like a haircut: one slot, one price, no room for a waitlist or a materials fee.
  • Ticketing sites take a cut of every seat and keep the attendee list.
  • The people who came to the workshop never make it onto your list, so the next one starts from zero.
  • You sold twenty seats and paid for the room, the supplies and the assistant; nobody can say what the workshop actually made.

What to look for, in any tool

Whatever you choose, these are the things that decide whether the software carries the work or you do. The last column is the lowest ColibriOS plan that includes it; every plan contains the one before it.

A workshop is an event, not an appointment

Set a date, a capacity and a price, or run it as a series. Sell seats from a page on your own website, take deposits or full payment through your own Stripe or PayPal, and let the waitlist fill cancellations. Add a materials fee, a recording or a follow-up session as an add-on at checkout. Check people in at the door from your phone.

Before and after, in your own words

Attendees get the confirmation, the reminder with the address and what to bring, and the follow-up with the slides, all timed to the workshop and written by you. Intake forms and waivers are filled in at booking, so a breathwork or movement workshop starts with the paperwork done.

Every attendee becomes a contact

Everyone who books lands in your CRM tagged with the workshop. The next one is an email to people who already came, not an ad to strangers. Run a free intro workshop as a funnel and the sign-ups flow into a nurture sequence automatically.

What the workshop made, not what it grossed

Seat sales are income the day they land. Connect your bank and the room hire, the supplies and the assistant's fee arrive as expenses, categorized; mileage to the venue is tracked at the official IRS rate. A tax-ready report at year end. Booking tools stop at the sale; this is the part after it.

Questions, answered

Which plan do I need for workshops?

Gather, at $297 a month: workshops, classes and events with capacity, waitlists, check-in and attendee portals, on top of everything in Serve (booking, website, CRM, email, courses and the books).

Do you charge per seat or per ticket?

No. ColibriOS is a flat monthly subscription; seat payments go straight to your own Stripe or PayPal at your processor's standard rate.

Can I run a free workshop as a lead magnet?

Yes. Free RSVPs get the same registration, reminders and follow-up as paid seats, and a free workshop can be the first step of a funnel that enrolls sign-ups in an email sequence.

Can I sell a recording or a follow-up session with the seat?

Yes. Per-offering add-ons attach to the workshop itself and are chosen at checkout, each with its own price, and each one lands in your books as its own line.

Can attendees book from my existing website?

Yes. Your ColibriOS website can be the site, or you link from your existing one to the workshop page. Either way the booking, the payment and the contact record live in ColibriOS.

Does it handle a multi-week series?

Yes. A series is one listing with its dates; attendees book once and are reminded before each session.
