For tour and experience hosts

Spend the day with your guests, not your inbox.

Tickets, capacity, deposits, waivers, waitlists and check-in for tours, tastings, farm visits and guided days out, on your own website, with every guest in a list you own and the books kept as you go.

The parts that eat your week

A booking widget, a waiver app, a spreadsheet of who is coming and an email tool, none of them talking to each other
Rain on a Saturday means an evening of emails, refunds and rebooking by hand
Tax time, and no clear picture of what the tours made after fuel, staff and insurance

Sell the tickets, collect the waivers, check guests in at the meeting point, and see what each tour made, all in one place.

Every departure has its own spots

Each tour date is an event with its own capacity, ticket types and price. Set a tour to repeat weekly, every two weeks or monthly, and give each departure time its own series, so the 9 am and the 1 pm walks fill on their own. A family books four spots in one go and capacity counts every one. Ticket types let you set a different price for a child or a member.

Signed and paid before the meeting point

Guests book from a page on your own website and pay in full or leave a deposit through your own Stripe. The waiver and your own questions (allergies, mobility, anything you need to know) are filled in at booking, so nobody signs a clipboard in the parking lot. Confirmations and reminders go out on their own with the meeting point and what to bring, and you check guests in from your phone.

When the weather has other plans

Cancel a date in one click and nobody else can book it. Guests are not emailed or refunded automatically, so you stay in charge of what happens next: email everyone on that date from the same screen, then move each guest to a new date from their booking. Their answers and signed waiver move with them. Any refund goes back from the invoice. Bookings past capacity land on a waitlist, so you know who to call when a spot opens.

What the season actually made

Every ticket is income the day it is paid. Connect your bank and fuel, insurance, permits and the extra guide for the busy months arrive as expenses, sorted into Schedule C categories. Mileage is tracked at the official IRS rate. Every guest lands in your contact list, so next season starts with an email to people who already came, and the year closes with one report instead of a spreadsheet.

A weekend of farm tours

  1. 1Two walks on a weekly schedule, 9 am and 1 pm, with 14 spots each at $45 for adults and $20 for children.
  2. 2The 9 am fills the week before with 10 adults and 4 children; three families join the waitlist.
  3. 3Every guest signs the waiver and answers the allergy question at booking, so check-in at the gate is a phone and a minute.
  4. 4Rain is forecast for the 1 pm. You cancel it, email the 11 guests booked on it, and move each one to Sunday from their booking.
  5. 5$975 of tickets recorded as income as each payment lands, and $140 of fuel, feed and supplies from the bank feed, so the weekend's margin is on one screen.

Questions, answered

Can a family or group book several spots at once?

Yes. A guest picks how many spots they need at checkout, and the tour's capacity counts every one of them. Ticket types let you set a different price for a child or a member.

What happens when weather cancels a tour?

Cancel the date and nobody else can book it. Guests are not emailed or refunded automatically: email everyone on the date from the same screen, move each guest to a new date from their booking, and refund any payment from its invoice.

Can guests sign a waiver before they arrive?

Yes. Attach a waiver and your own questions to the tour and every guest completes them at booking. You can see who has signed before anyone reaches the meeting point.

Does it work alongside the booking sites I list on?

Yes, as your own booking page, guest list and books. ColibriOS does not connect to outside booking sites, so set aside a share of each tour's spots for them. Guests who book on your own site pay you through your own Stripe.

Can I sell gift cards?

Not as a feature today. ColibriOS sells tickets, deposits, memberships and products; a gift card a guest redeems later is not built yet.

Which plan do I need?

ColibriOS Pro, at $129 a month: tours with capacity, ticket types, deposits, waivers, waitlists and check-in, along with your website, the CRM, email and the books.
