For coaches & staff

Your coaching practice, in one calm home.

Sessions, group programs, courses, community and the money behind them, held in one place so you can stay in the work instead of the tabs.

Sound familiar?

A scheduler, a course platform, a CRM and a spreadsheet, none of them talking to each other
1:1 clients and group programs living in two different systems
Invoices in one tool, expenses in another, and tax season in neither

From a single discovery call to a year-long group program, Colibri holds the booking, the teaching, the community, and the follow-through.

From the discovery call to the package

A discovery call is a booking type with its own length and intake form; the person who books it is a lead in your pipeline. When they say yes, you sell a package of six sessions or a deposit with the balance later, through your own Stripe, and the lead becomes a client with the call, the answers and the payment already on their record. Nothing is typed twice.

Sessions that respect your calendar

Your Google, Outlook or Apple calendar's busy times are blocked from your booking page automatically, and every ColibriOS session appears in that calendar through a feed. Confirmations and reminders go out on their own; session emails you wrote yourself go out before and after each call, timed to that client.

When one-to-one becomes one-to-many

The group program you have been meaning to launch is a group with a start date, group sessions with capacity, a member-only space and the course material beside it. A membership is recurring. A self-paced course has a student portal and certificates. It is the same client record, so the person who started as a discovery call is still one person in your system.

Books that match the way you get paid

Packages paid up front, deposits with balances, monthly memberships, course sales: each is income the day it lands, and on Group, expenses arrive from your bank already categorized. Mileage to an in-person session is tracked at the official IRS rate. At year end you download a report by Schedule C category instead of building one. Coaching tools stop at the invoice; this is the piece after it.

A month for a coach on Solo

  1. 1Two discovery calls a week from the website, each a lead in the pipeline with the intake form answered.
  2. 2Three of eight become clients and buy a six-session package at $900, paid in full or as a $300 deposit and two payments.
  3. 3Twelve existing clients on monthly sessions, booked around a calendar that already knows about school pickup.
  4. 4$4,800 of income recorded the day it lands; $610 of expenses (Zoom, a coaching supervision fee, mileage to two in-person sessions) categorized from the bank feed.
  5. 5One report at month end: what came in, what went out, and the quarter's numbers to hand your tax professional.

Questions, answered

Can I run 1:1 coaching and group programs together?

Yes. Book private sessions, enroll cohorts into programs and courses, and run a members' community from the same workspace, with one client record behind all of it.

Can I sell a self-paced course alongside live coaching?

Host the course in ColibriOS and pair it with your sessions, so clients keep momentum between calls and you keep one view of each client.

Does it keep session notes?

Yes. Notes live on the client's record next to their sessions, intake answers and payments, so the next call starts where the last one ended.

Can I sell packages and take deposits?

Yes. Sell a package of sessions up front, or a deposit with the balance later, through your own Stripe at your processor's standard rate. ColibriOS adds nothing per payment.

Does it do contracts?

ColibriOS covers intake forms, waivers, booking, invoices and payments. If a signed coaching agreement is central to your onboarding, keep your signing tool; ColibriOS holds everything that happens after the signature.

Which plan do I need?

Most coaches start on Solo at $116 a month and move to Group at $297 when they add a group program, workshops or a membership. Every plan contains the one before it.
