From first call to first payment, one link

A free discovery call and a paid session or package sit on the same booking page, from the hours you are actually free in Google or Outlook, with buffers and a daily cap. The intake questionnaire is answered as part of booking, so the first session starts with it read. A client who books the call and later buys the package is one record, not two.

Packages, notes and the portal

A six-session package sold once, paid up front or over time, with sessions counted down and a warning before the last. After each session, a note goes on the client record next to their intake answers, payments and every email you have sent them. Clients open a portal from an email link, no password, to see their bookings, invoices and any files you share.

When one-to-one becomes one-to-many

A group program runs on a schedule with a cohort, a capacity and a portal for the participants. A self-paced course sells with lessons, quizzes and a certificate on every plan. A membership renews itself. A workshop or a retreat takes registrations with deposits and a waitlist. The people in all of them came from the same list and stay on the same records.

The books, included

Every session, package and program payment is income the day it lands. Connect your bank and the Zoom subscription, the coaching certification and the mileage to the workshop become expenses, categorized the way an accountant thinks. Questions, answered

Which plan does a life coach need?

Serve, at $116 a month, covers the booking page with discovery calls and packages, intake, notes, the client portal, courses, your website, the CRM, email and text, and the books. Gather, at $297, adds group programs with cohorts, memberships, and workshops or retreats with capacity and deposits. Most coaches start on Serve and move to Gather when the first group program sells.

Does it have worksheets, homework or accountability check-ins?

Not as a feature. Intake forms and questionnaires are answered at booking and stored on the record, you can share files through the portal, and a scheduled email sequence can send a prompt between sessions. There is no worksheet builder or habit tracker; if that is the core of your method, tools built around it do more there.

Can I sell a coaching package and take payment over time?

Yes. A package has a price, a number of sessions and an optional instalment plan, paid through your own Stripe or PayPal at the processor's rate. ColibriOS adds no fee. Sessions are counted down as they are booked.

Do clients need an account?

No. They book from your page, get a confirmation with an Add to calendar link, and open the portal from an email link whenever they need their bookings, invoices or files.

Can I run a group coaching program?

Yes, on Gather. A program is a dated series with a cohort, a capacity and a price; each session has its own reminder and video-call link, and participants get a portal with the schedule, the recordings and a discussion space.

How is this different from HoneyBook or Paperbell?

Those are built around the client admin: proposals, contracts, invoices, scheduling. ColibriOS covers that side for a coach and then the parts they leave out: the website, the newsletter list, group programs, courses, memberships and the books. HoneyBook is compared row by row on its own page.

Does it replace QuickBooks?

For most solo practices, yes. Income lands in the books as payments happen, bank transactions are categorized, mileage is tracked at the IRS rate, and the year-end report is what your accountant asks for. Colibri helps you organize your income and expenses. It is not a tax preparer, accountant, or a substitute for professional tax advice.

How do I move my clients over?

Export your clients from your current tool as a CSV and import them with tags and consent. Rebuild your session types and packages, connect your calendar, and point your old booking link at the new page. Existing appointments stay on your calendar.
