Real double-entry accounting

Xero is a general ledger: balance sheet, journal entries, reconciliation and reports your accountant can work in directly, with free accountant access on every plan. ColibriOS keeps tax-ready books and exports a QuickBooks-format journal, but it is not double-entry accounting. If your accountant requires a ledger, Xero earns its place.

Unlimited invoices, estimates and payment reminders

Everything business owners invoice in Xero they can invoice here, with no monthly cap on any plan: estimates that become invoices, recurring invoices on a schedule, automated payment reminders that stop when the invoice is paid, and a pay page that takes cards, PayPal, Zelle, Venmo or cash. The Stripe and PayPal integrations run through your own accounts at their standard rates, and ColibriOS adds nothing per payment. The difference is that most of your income never needs an invoice at all, because the booking, the ticket and the enrollment collect payment when they are sold, so you are paid faster without chasing anyone.

A Xero alternative where the sale does the bookkeeping

A discovery call, a retreat deposit, a course enrollment or a membership renewal lands in the books in real time, with the client, the offer and the gathering already attached. The Plaid bank feed on Gather brings transactions in pre-categorized, and every correction you make becomes an automation rule, so bank reconciliation stops being a weekly chore. Expense tracking happens as you go: snap a receipt and it is read into an expense, and mileage counts at the official IRS rate. Xero hears about a sale when the invoice is raised or the bank feed catches up. ColibriOS was in the room when it happened.

The small business tools accounting software leaves out

Xero lists invoicing, bill payments, payroll through Gusto and cash flow forecasts among its features. It does not list a website builder, email campaigns or a booking page, because it is accounting software. A small business runs on more than the ledger, so ColibriOS gives every plan a website on your own domain, a CRM with every client's history, email and text campaigns, funnels for filling the next retreat, and a mobile-friendly portal where clients book and pay. The invoice is one step of the relationship, not the whole record of it.

Is ColibriOS accounting software like Xero?

It is a business platform with bookkeeping built in. Income, expenses, bank feeds, receipt capture, mileage, invoicing, Schedule C and estimated taxes are all here; a general ledger, a chart of accounts, journal entries, accounts payable and multi-currency billing are not. Xero is double-entry accounting on every plan; if your accountant requires a balance sheet, Xero is the safer pick.

What does it cost compared to Xero?

Xero runs $25 to $90 a month at regular price, with 20 invoices and 5 bills a month on the entry plan, no free plan, payroll as a Gusto add-on, and a price increase announced for October 2026. Serve is $116 a month with unlimited invoices, and it includes booking, your website, courses, email and text campaigns and the books. If the ledger is all you need, Xero is cheaper. If you also pay for a booking tool, a course platform and a website, the stack usually costs more than Serve.

Does ColibriOS track time?

No. There is no time tracking and no billable hours. You price the session, the package or the seat and sell it at that price. Freelancers who bill by the hour and businesses that job-cost projects are on Xero's home ground, and ColibriOS does not compete there.

What about QuickBooks Online, FreshBooks or Zoho Books?

QuickBooks Online, FreshBooks, Zoho Books and Wave are accounting-first tools, and any of them is a reasonable alternative to Xero if the books are your only gap; compare them on their own pricing pages. Does it connect to my bank?

Yes, on Gather and up, through Plaid, with two-factor sign-in required. Transactions arrive pre-categorized and matched to invoices and payments, so reconciliation is a review, not a chore. On Serve you import CSV, OFX or PDF statements with duplicates skipped.

Can my accountant get in?

Yes, with a read-only accountant seat: financial reporting, receipts and exports, no editing. The year-end pack bundles profit and loss, Schedule C by line, expenses by category, mileage, the contractors list and a journal in QuickBooks CSV format, so a bookkeeper can close the year without a login for anything else.

How do I switch from Xero?

You can migrate from Xero in an afternoon. Export your contacts from Xero as CSV and import them here, connect your bank going forward, or import statements, and set your categories once; every correction becomes an automation rule, so the tedious part of the migration disappears within a few weeks. Small businesses and freelancers switch the same way: contacts first, bank second. Keep Xero read-only until your accountant closes the year, and if you get stuck, customer support is one message away inside the app.
