Unlimited time tracking on every plan, and tracked hours land on the invoice. ColibriOS has no time tracking at all; you sell sessions, packages and seats at a price instead. If you bill by the hour, FreshBooks earns its place.

Invoices, estimates and payment options

Everything you invoice in FreshBooks you can invoice here: estimates that become invoices, recurring invoices on a schedule, automated payment reminders, and a pay page that takes cards, PayPal, Zelle, Venmo or cash. The Stripe and PayPal integrations run through your own accounts at their standard rates. ColibriOS adds nothing per payment. The difference is that most of your income never needs an invoice at all, because the booking, the ticket and the enrollment collect payment when they are sold.

A FreshBooks alternative where the sale does the bookkeeping

A discovery call, a retreat deposit, a course enrollment or a membership renewal lands in the books in real time, with the client, the offer and the gathering already attached. The Plaid integration on Gather brings bank transactions in pre-categorized, and automation matches them to invoices and payments; snap a receipt and it is read into an expense; mileage counts at the official IRS rate. FreshBooks hears about a sale when you create the invoice. ColibriOS was in the room when it happened.

The small business tools accounting software leaves out

FreshBooks lists invoicing, expenses, payroll and reporting as its features. It does not list a website builder, email campaigns or a booking page, because it is accounting software. A small business runs on more than invoices, so ColibriOS gives every plan a website on your own domain, a CRM with every client's history, email and text campaigns, and funnels for filling the next retreat. The invoice is one step of the relationship, not the whole record of it.

FreshBooks tracks project profitability on Premium, with projects you assemble by hand. ColibriOS reports profit per gathering on its own, because the tickets, the venue expense, the facilitator fees and the mileage are already tied to the retreat. Questions, answered

Is ColibriOS accounting software like FreshBooks?

It is a business platform with bookkeeping built in. Income, expenses, bank feeds, receipts, mileage, invoicing, Schedule C and estimated taxes are all here; formal double-entry accounting, journal entries, accounts payable and multi-currency billing are not. FreshBooks Plus and above are double-entry accounting; if your accountant requires that, FreshBooks is the safer pick.

What does it cost compared with FreshBooks?

FreshBooks runs $23 to $70 a month at regular price, with client limits of 5 and 50 on the lower plans, no free plan, and payroll and team members as add-ons. Serve is $116 a month with no client limits, and it includes booking, your website, courses, email and text campaigns and the books. If invoicing is all you need, FreshBooks is cheaper. If you also pay for a booking tool, a course platform and a website, the stack usually costs more than Serve.

Does ColibriOS track time?

No. There is no time tracking and no billable hours. You price the session, the package or the seat and sell it at that price. Freelancers who bill by the hour are on FreshBooks home ground, and ColibriOS does not compete there.

What about Xero, QuickBooks Online or Zoho Books?

Xero, QuickBooks Online, Zoho Books and Wave are accounting-first tools; if the books are your only gap, compare them on their own pricing pages. Does it connect to my bank?

Yes, on Gather and up, through Plaid, with two-factor sign-in required. Transactions arrive pre-categorized and matched to invoices and payments. On Serve you import CSV, OFX or PDF statements with duplicates skipped.

Can my accountant get in?

Yes, with a read-only accountant seat: reports, receipts and exports, no editing. The year-end pack bundles profit and loss, Schedule C by line, expenses by category, mileage, the contractors list and a journal in QuickBooks CSV format.

How do I switch from FreshBooks?

Export your clients from FreshBooks as CSV and import them as contacts. Connect your bank going forward, or import statements, and set your categories once; every correction you make becomes an automation rule, so the tedious part disappears within a few weeks. Freelancers and small businesses switch the same way: clients first, bank second. Keep FreshBooks read-only until your accountant closes the year.
