Online booking from your real calendar with session lengths and buffers, health intake and consent signed before the first visit, packages and memberships that track themselves, reminders in your words, a note on every session, and bookkeeping that keeps itself, mileage included for the mobile practice. Built for one therapist or a small room, not a spa chain.
Whatever you choose, these are the things that decide whether the software carries the work or you do. The last column is the lowest ColibriOS plan that includes it; every plan contains the one before it.
| Look for | Why it matters | In ColibriOS |
|---|---|---|
| Session types with lengths, prices and turnover buffers | A 90-minute booking with no gap after it is a 90-minute booking that runs late. | Serve |
| Booking from your real calendar, with notice and daily caps | The booking page should see your life, not just your business hours. | Serve |
| Health intake and signed consent at booking | Contraindications belong on the record before the client is on the table. | Serve |
| Packages with sessions counted, and pay-over-time | A package sold once is worth more than five sessions chased one at a time. | Serve |
| Reminders you write, by email and text | No-shows drop when people hear from you the day before, in your voice. | Serve |
| Memberships that renew themselves | A monthly massage on autopay is the steadiest income a practice has. | Gather |
| Mileage at the IRS rate for house calls | A mobile practice drives thousands of miles a year; every one of them is deductible if it is recorded. | Serve |
| Bookkeeping and a tax-ready report | Knowing what the practice kept, not just what it billed, is the number that runs it. | Serve |
Session types with their own lengths and prices, 60, 90 or 120 minutes, with a buffer after each for turnover. Booking pages read your Google or Outlook calendar and offer only the times you are free, with a minimum notice and a daily cap so the last slot of the day is one you chose. Clients pick a time, pay at booking or on the day, and the appointment lands on both calendars with the address or the room.
Health history, areas to avoid, pressure preference, pregnancy and medical conditions, all answered as part of booking. The consent form is signed with a typed name and a date and stored with the client. Every answer sits on the client record where you read it before the session, and where you add a note after it, so the next visit starts from the last one.
A five-session package sold once, with sessions counted down and a warning before the last. A monthly membership that renews itself with a member price on extras. For house calls, the address goes on the booking and the mileage is tracked at the IRS rate against the visit. Reminders go out by email or text the day before, in your words, and no-shows drop.
Every session, package and tip is income in your books the day it is paid. Connect your bank and oils, sheets, laundry, rent and the table itself land as expenses, categorized the way an accountant thinks, with mileage alongside. What the practice actually kept is a report you open, and the year-end report is what your accountant asks for.
Serve, at $116 a month, covers booking with session types and buffers, intake and consent, packages, reminders, session notes, your website, the client list, email and text, and the books with mileage. Gather, at $297, adds memberships that renew, multi-therapist calendars, and workshops or classes with capacity. Most solo practices stay on Serve.
Yes. Booking pages show only the times you are free, and a session can be paid at booking through your own Stripe or PayPal at the processor's rate, on the day, or from a package. ColibriOS adds no fee on a booking.
It keeps a note per client and per session on the client record, free text, visible only to you and your staff. There is no SOAP template, body chart or insurance billing. If you bill insurance or need clinical charting, dedicated clinical software does that and ColibriOS does not.
Packages on every plan: a set number of sessions at a package price, paid up front or over time, counted down as they are used. Memberships on Gather: a monthly plan that renews itself, with a member price on extra sessions and add-ons.
Not as a feature today. The workaround most therapists use is to sell a single-session or package product to the buyer and email the receipt to the recipient, then book them from it. If gift certificates matter to your practice, tell us; it is on the list.
Yes. The client's address goes on the booking and on your calendar, travel time can be built into the buffer, and mileage is tracked at the IRS rate against each visit so the deduction is recorded as you drive, not reconstructed in April.
For most solo practices, yes. Income lands in the books as sessions are paid, bank transactions are categorized, mileage is tracked, and the year-end report is what your accountant asks for. Colibri helps you organize your income and expenses. It is not a tax preparer, accountant, or a substitute for professional tax advice.
Export your client list from your current booking tool as a CSV and import it with tags and consent. Rebuild your session types (most therapists have three or four), connect your calendar, and point your old booking link at the new page. Existing appointments stay on your calendar.
