Acuity vs Calendly: Which Scheduler Fits a Coach or Practitioner?

Acuity Scheduling and Calendly both put a booking link in front of your calendar. They are aimed at different people: Calendly at anyone who books meetings, from a sales team to a freelancer; Acuity at service businesses that sell appointments, classes and packages. For a coach or practitioner that difference decides most of it.

Everything below is taken from the two companies' own pricing and feature pages, checked on the dates at the end. We sell a competing product, so the facts are theirs and the last section is ours.

The plans, as printed

Calendly has a free plan: one event type, one calendar, basic calendar and video integrations, no payments. Standard is $10 a seat a month (17% less billed annually) with unlimited event types, multiple calendars, payments through Stripe or PayPal, routing forms, email reminders, and Zoom, Google Meet, Teams, HubSpot, Mailchimp, Zapier and Salesforce integrations. Teams is $16 a seat a month (20% less annually). Enterprise starts at $15,000 a year with a 50-seat minimum. Trial length and cancellation are not stated on the pricing page.

Acuity has no free plan. Starter is $20 a month ($16 billed annually) with 1 calendar, email reminders and custom client forms; Standard is $34 ($27 annually) with up to 6 calendars, text reminders, memberships and packages; Premium is $61 ($49 annually) with up to 36 calendars, the Powered by branding removed, and custom API and CSS. There is a 7-day free trial with no credit card, payments through Stripe, Square or PayPal, and the account is described as easy to cancel with no cancellation fees.

Booking and payment

Both take a booking from a link and put it on your calendar. Calendly's free plan does it for one event type; payment at booking starts on Standard. Acuity takes payment on every plan and lists unlimited services and appointments.

For a practitioner with three or four session types and a card on file at booking, Acuity Starter at $20 does the whole job; Calendly needs Standard at $10 a seat to take payment, which for one person is the cheaper number.

Intake, reminders and classes

Intake: Acuity lists custom client forms on every plan, so a questionnaire is answered at booking. Calendly lists routing forms on Standard, which qualify a lead before showing times; an intake questionnaire is a different thing.

Reminders: Acuity has email reminders on Starter and text reminders on Standard. Calendly has email reminders and workflows on Standard.

Classes and groups: Acuity lists 1:1 services or group classes, workshops and events, a waitlist for last-minute cancellations, and daily appointment limits. Calendly lists group meeting types; tickets, attendee lists and check-in are not listed, and capacity limits and waitlists are not stated.

Packages and memberships: Acuity lists packages, subscriptions, memberships and gift certificates from Standard up. Calendly does not offer them.

Teams and video

Calendly is the stronger team tool: round robin, collective scheduling, routing forms, and Salesforce and HubSpot integrations, with Zoom, Google Meet and Teams creating the meeting link at booking. Acuity scales to 36 calendars on Premium and connects to Google Meet, Zoom and GoToMeeting on every plan.

Who each one suits

Choose Calendly if a scheduling link is the whole need, you mostly book calls rather than sell sessions, or you schedule as a team with round robin and a CRM behind it. The free plan is a real free plan.

Choose Acuity if you sell appointments: payment on every plan, intake forms at booking, packages and memberships, group classes with a waitlist, text reminders. For a solo practitioner it is the more complete calendar, and it pairs with a Squarespace site.

What neither one does

Neither lists a client record that carries notes, payments and emails across a relationship, a newsletter to your list, a website on your own domain (Acuity gives a branded booking page; Calendly a hosted page and embeds), courses or memberships beyond Acuity's packages, or bookkeeping and a bank feed. Both stop at the calendar, which is what they are for.
